A. Purpose
To accomplish the responsibilities as stated below regarding the exemption of certain auxiliary services for students.
B. Responsibilities
1. to review university policy and procedures in relation to the Rules of the Board of Supervisors for State Colleges and Universities;
2. to provide recommendations regarding the university’s implementation and enforcement of the parietal rules of the Rules of the Board of Supervisors for State Colleges and Universities;
3. to serve as the reviewing committee for an application for exemption from any auxiliary services that is mandated for enrolled students.
The members of the committee shall be appointed annually by the Dean of Students.
A. Committee Composition
1. Voting membership –
a) Representative from Student Activities & Organizations
b) Representative from Student Services
c) Faculty
d) Representative at large from Student Affairs
e) Representative at Large from Enrollment Management
f) Representative from External Affairs
Appointed annually by Dean of Students
2. Advisory membership (non-voting):
a) Committee Coordinator – Director of Auxiliary Services, or designee
b) Advisory members - Dean of Students
c) Campus Living Villages Representative
A. The Director of Auxiliary Services or designee shall receive and review all of the applications for exemption from any auxiliary service mandated for enrolled students. The applications that meet the following criteria will receive approval from the Director of Auxiliary Services or designee and will not require committee review:
1. Reside with a family member
2. Military Veteran
3. Reside in family owned property
4. Medical problem
5. Age – 21 years or older by the fourteenth (14th) day of enrollment for the semester the student is applying for exemption
6. Participation in respective program for 6 semesters or more
7. Married, divorced or in guardianship for a dependent child
8. Classified as a Senior
The applications that will not receive approval from the Director of Auxiliary Services or designee and that require committee review are as follows:
1. Not clearly meeting at least one of the above requirements (1-8)
2. Financial Hardship
3. Other Hardship
B. Meeting Procedures
1. A minimum of three (3) of the five (5) voting members will constitute a quorum. A quorum must be present to conduct routine business and/or vote on the status of an application for exemption from any auxiliary service.
2. The Auxiliary Services Exemption Committee will meet a minimum of once a semester, at the recommendation of the Committee Coordinator, or at the request of the Director of Student Services or Dean of Students.
3. The Committee Coordinator shall compile all applications for exemption and supporting documentation for review by the Committee. It shall be the responsibility of the Committee Coordinator to inform the applicant of the decision of the Committee. The Committee Coordinator shall be responsible for recording and maintaining minutes of the meetings
4. General sequence of the meeting
a) The Committee Coordinator calls the meeting to order
b) The reading of previous meetings minutes.
c) Committee announcements
d) Discussion of new business
e) Review of applications
f) Schedule next committee meeting
g) Adjournment
C. Student Life Committee
The Committee Coordinator will serve on the Student life Committee and briefly report on committee actions and recommendations.
