All departments having
student employees should read and act according to the following:
In addition, the University
has offered training to supervisors of student employees in the past.
This training will be offered again on August 22, 2003.
Each department / budget unit employing students is encouraged to make an
effort to send at least one departmental representative to that training.
Specific details regarding the training will be forthcoming from the Student
Employment Office.
Finally, each supervisor,
department, and budget unit employing students should be reminded of the
following:

Students may not begin
working without prior approval from the Office of Student Employment

Students should not be
allowed to project future hours to be worked, i.e. only time actually worked
by the end of the pay period may be included on a given timesheet
-
Budget Unit / Department
Heads are responsible for notifying Business Affairs - Payroll Section if
any student employee will be receiving any compensation other than salary or
wages
-
Students must not be
permitted to work more than thirty (30) hours per week
-
Students are not allowed to
work during times when they have classes scheduled
-
Students' class schedules
and work schedules should not overlap

The official Sign In / Sign
Out Sheet can be found in the Fiscal Policy & Procedures Manual, Section
X-27-1, Attachment 9

Supervisors may not
complete the timesheets of student employees
-
Supervisors may not sign
the student employee's name on the student's timesheet
-
Supervisors may not
complete the student employee's Sign In / Sign Out sheet for the student
-
Supervisors must reconcile
the hours worked per the Sign In / Sign Out Sheet to the timesheet
-
Public records should be
maintained for a period of at least three (3) years
-
Each student must sign in
each day they work, and sign out at the conclusion of the work day
-
For each day of the pay
period, the student must record the beginning and ending time worked on the
Sign In / Sign Out Sheet

The Sign In / Sign Out
Sheet must be maintained by the departmental timekeeper
-
The supervisor must make
sure the student records the actual times and dates. Do not allow the
student to work one day and record it as a different day. Recorded
time should reflect actual events.

Departmental timekeepers
must review and sign the Sign In / Sign Out Sheet attesting that the student
employee worked the hours recorded and file the Sign In / Sign Out Sheet for
a period of at least three years
The above should not be
considered all-inclusive. The Fiscal Policy & Procedures Manual and
Supervisor's Reference Manual for Student Employment should be reviewed.
