Post Office Committee

I.                    Purpose

A.  Purpose

 

The purpose of the University Bookstore, Food Service and Postal Services Committee is advisory and to:

 

1.   Assist the university administration in providing a campus bookstore that is efficient, economical, courteous and meets the needs of the Northwestern community.

 

2.   Assist the university administration in providing positive food service, which is palatable, attractive and economically feasible to the Northwestern campus and the Natchitoches community

 

3.   Assist the university administration in providing proper and adequate customer service in the Post Office to both the students and the university departments it serves.

 

 B.  Responsibilities

 

1.   To make recommendations regarding the bookstore contractor, types of merchandise, merchandise displays, quality of merchandise, hours of operation, efficient and courtesy of staff, and general operation of the University Bookstore locations.

 

2.   To make recommendations regarding the food services contractor, review proposed increases, make recommendations regarding the services provided to include additional services or changes in menus, meal plans, et cetera.

 

3.   To make recommendations regarding the quality of postal services, hours of operation, efficiency and courtesy of staff and the general operation of the University Post Office. 

 

II.                 Membership and Quorum

A.  Committee Composition

 

1.   Voting membership shall be composed of individuals listed below.  Faculty and staff shall be appointed annually.  The length of an appointment of a student will be for the duration that the student is continuously enrolled in the program (undergraduate or graduate) in which he or she is enrolled at the time of appointment to the committee.

 

a)      SGA Senator recommended by the SGA President and approved by the Senate

 

b)      Student residing off-campus student with a meal plan recommended by the SGA President and approved by the Senate

 

c)      Resident Assistant recommended by the SGA President and approved by the Senate

 

d)      University Columns resident recommended by the SGA President and approved by the Senate

 

e)      Residence Hall student recommended by the SGA President and approved by the Senate

 

f)        Two Faculty members appointed by the Vice President for Student Affairs

 

g)      Two Staff members appointed by the Vice President for Student Affairs

 

 2.  Advisory membership (non-voting):

 

a)      Committee Coordinator – Director of Auxiliary Services

 

b)      Advisory members

 

1)      Vice President for Student Affairs

 

2)      Director of Student Services

 

3)      Director of Food Service

 

4)      Director of University Bookstore

 

5)      Coordinator of Postal Services

 

A committee chair shall be elected by a majority of the voting members annually.

 

The SGA Senator shall provide a report on the business of the committee to the Senate following a meeting of the committee.

 

 III.               Operational Plan

 A.  Meeting Procedures

 

1.   A minimum of five (5) of the nine (9) voting members will constitute a quorum.  A quorum must be present to conduct business and/or vote on the status of any issue related to the University Bookstore, Food Service and Postal Services.

 

2.   The University Bookstore, Food Service and Postal Services Committee will meet a minimum of four times a year, at the recommendation of the committee chair, Committee Coordinator, or at the request of the Director of Student Services or Vice President for Student Affairs.

 

3.   The Committee Coordinator shall prepare all materials to be presented at the meeting and keep the minutes of each meeting.  Upon the completion of the minutes, copies will be distributed to all voting and advisory members of the committee and the University President.

 

4.   General sequence of the meeting

 

a.       The Committee Chair calls the meeting to order

 

b.      The reading or review of previous meetings minutes

 

c.       Discussion of old business

 

d.      Discussion of new business

 

e.       Schedule next committee meeting

 

f.        Committee Announcements

 

g.       Adjournment
