Generative AI tools are becoming increasingly common in teaching, research, and administrative work. While many tools are available at little or no cost, they differ significantly in how they collect, store, and use information submitted by users.

Before adopting an AI tool for university work or requiring students to use one for coursework, faculty should consider how information entered into the tool may be processed, retained, or shared. In many publicly available AI services, submitted content may be used to improve or train future models. As a general rule, information entered into an unapproved AI tool should be treated as though it could become public.

In this issue, we explain the different categories of AI tools, outline expectations for protecting university and student information, and provide guidance on selecting appropriate tools for instructional, research, and administrative activities.
